SCHOOL SAFETY
The lockdown drill started at 1:47 p.m. on Tuesday—a routine check that the school’s crisis protocol could be executed without hesitation. The alarm sounded. Teachers moved students into secure locations. Within two minutes, it was over. But on debrief, the principal realized something that chilled her: the groundskeeper in the northwest building never heard the announcement. He was working outside the main facility, earbuds in, and only discovered the drill was happening when a custodian walked by and told him. Six systems, one moment
Districts that pass this checklist don’t treat emergency communication as a single tool. They treat it as six systems that all must fire correctly, in every zone, at the same time. Go through each section below with your safety team and check off what’s verified and working today — not what’s planned or “mostly” true.
1. Universal Reach
An alert isn’t complete until every person on campus gets it — not just the people inside the building.
□ Alerts reach classrooms, offices, and common areas at the same time
□ Outdoor and maintenance areas — grounds, fields, parking lots, portables — are included in alert zones
□ Alerts reach personal devices and radios, not only fixed speakers and displays
□ Every staff member, including non-classroom roles like the groundskeeper in the story above, is mapped to a zone
2. Visual Signals
Sound isn’t universal. Hard-of-hearing students and staff, loud spaces, and areas without speakers all need a visible equivalent.
□ Strobes or visual alerts are installed in classrooms, gyms, and cafeterias
□ Digital signage can display emergency messages, not just daily announcements
□ Visual alerts trigger in sync with audio — not seconds behind it
□ Hallways and common areas without speakers still receive a visible signal

3. Zone-Based Precision

□ Staff can confirm “sheltered” or “accounted for” status back to administrators
□ Administrators have a live view of which zones have confirmed and which haven’t
□ There’s a defined follow-up process for zones that don’t check in
□ Groundskeepers, custodians, cafeteria staff, and other non-classroom roles are included in the confirmation loop

6. Speed
